The Vice President of Marketing and Communications is responsible for managing APIA Scholars external communications, collateral materials, website, social media, event planning, and assist with some aspects of fundraising. This position is based in Washington, DC. Salary is commensurate with experience and qualifications.

 

Essential Duties and Responsibilities:

External Communications & Community Relations

      • Leads strategy, vision, direction, and reporting for the Marketing and Communications department. Liaises with Strategic Leadership Team (SLT).
      • Develop and execute APIA Scholars communications plan to donors, general public, community partners, and other constituents.
      • Build relationships with strategic partners in the APIA and higher education communities.
      • Develop, update, and maintain APIA Scholars collateral materials in coordination with vendors, APIA Scholars staff, and students.
      • Maintain timely updates of website, coordinating across the organization with web and IT vendors.
      • Lead effort to improve website’s utility and design for all stakeholders, including scholars, donors, board, and general public.
      • Organize presentation materials for board meetings three times per year.

 

Media Relations

        • Develop and implement effective media strategies to communicate APIA Scholars mission and news to audiences at regional and national levels.
        • Draft media materials including but not limited to press releases, newsletter, email to partners, draft speaking remarks, and pitch new stories to media outlets.
        • Manage new and existing media relationships including acquiring partnerships with celebrities and influencers.
        • Coordinate press events, roundtables, and meetings.
        • Coordinate with external audiences (donors, partner organizations) on APIA Scholars participation in events and campaigns. Some travel may be required.
        • Work closely with scholarship team on outreach to prospective student applicants, parents, schools, counselors, etc.

 

Event Planning

        • Plan customized donor events, such as receptions with scholars and donors.
        • Organize presentation materials for board meetings three times per year.
        • Serve as lead staff person to plan the annual event(s). Liaise with event planning consultants; manage event committee agenda, calls, minutes, reports; manage invitation and journal, including drafting, pagination and ads; prepare event news release; create media outreach plan; contract and liaise with various vendors (i.e. graphic designer, printer, etc).

 

Liaison to Development Department

            • Work closely with the Senior Director of Development to oversee the conceptualization, planning, implementation and follow-up of fundraising-related events that include but are not limited to APIA Scholars 20th Anniversary events, Higher Education Summit, and community receptions.
            • Manage the development of fundraising-related collateral and electronic communications to raise awareness about program areas in need of support.

 

Management

              • Train and supervise Senior Manager and Associate(s). Motivate and encourage growth, competence, and professional development.
              • Assist the Strategic Leadership Team (SLT) with organizational strategic initiatives.

 

Administrative

                • Work closely with Senior Director of Operations on account management to reconcile funding, track accounts, and submit reports.

 

Qualifications

                  • Bachelor’s degree required, master’s degree preferred.
                  • Candidate must have 10+ years of marketing and communications experience with progressive leadership experience.
                  • Non-profit, higher education, or NGO experience preferred, but not required.
                  • Candidate must demonstrate excellent written and verbal communication skills and be knowledgeable about diverse communities and issues in higher education.
                  • Thrive in a fast-paced work environment, balancing multiple demands and responsibilities.
                  • Ability to manage multiple projects and meet deadlines.

The Chief Financial Officer is responsible for oversight of the financial goals and strategic objectives for the organization. Reports to the President and Executive Director, as well as the Board of Directors for all accounting, financial, administrative, and operations matters.

Essential Duties and Responsibilities:

Finance and Operations

      • Lead the Finance & Operations Team (Sr. Director of Operations and Director of Finance) to achieve their established goals and objectives to contribute to the growth of the organization.
      • Create an inspiring team environment within the Finance & Operations team with an open communication culture.
      • Meet and execute to the approved fiscal year (FY) APIA Scholars Budget approved by Board.
      • Assist the President and Executive Director in improving the efficiency of the organization that meets the planned Budget.
      • Plan and execute on APIA Scholars real estate lease requirements.
      • Support development and APIA Scholars to maintain its Gold, 4 Star and S&I 100 charity ratings.  Budget challenges may impact charity ratings.
      • Support and encourage the leadership, development and execution of APIA Scholars and Gates Millennium Scholars (GMS) programs, alumni network and programs, as can be managed within FY headcount and budget.  Alumni programs is deemed strategic and confirmed requirement per APIA Scholars strategic plan.
      • Continue to strongly partner with GMS, Gates and UNCF to help facilitate and improve on its partnership development strategies
      • Support the ramp down plans with the Gates Foundation and UNCF as it applies to the GMS program.
      • Support the implementation of a modified CRM IT plan that improves APIA Scholars business requirements that also meets the FY 2022-2023 budget.

 

Gates Millennium Scholars Program (GMS) Operations

      • Support and measure the APIA Scholars-GMS Operations team on its ability to meet all GMS reports, deliverables, service levels and deadlines on a timely basis.
      • Support in representing APIA Scholars requirements to GMS, UNCF and to the Gates Foundation where appropriate
      • Support management and supervision of the GMS Operations business process reevaluation manage to 100% accuracy and accountability of each member of the GMS Operations team and manage to timely monthly financial GMS reconciliations.
      • Support meeting all new GMS metrics as defined in the new GMS Sub-Grant Agreement with APIA Scholars.

 

Strategic planning

      • Provide assistance in setting short- and long-term goals to fulfill the organization’s mission, working with the President and Executive Director and managers to ensure the “bigger picture” goals are met and tracking progress as it relates to the budget.
      • Provide financial direction for the President and Executive Director.
      • Maintain a cooperative and close working relationship with partner organizations, Board of Directors, and vendors.

 

Financial Management

      • Responsible for the financial operations of the organization, including the establishment of financial policies and procedures which ensure a sound financial structure and effective internal controls.
      • Oversight of daily operational accounting functions.
      • Provisions for ongoing oversight of compliance with generally accepted accounting principles.
      • Preparation of timely and accurate financial reports for senior management and the Board of Directors.
      • Ensure all accounting processes including accounts payable, accounts receivable, account coding, general ledger transactions, supporting schedules, audit schedules, journals, account reconciliations and tax schedules (as needed for certified audit preparation and compliance with tax and regulatory authorities) are managed in accordance with generally accepted accounting principles and internal policies and procedures.
      • Manage professional relationship with the organization’s accounting services partner to ensure all operational and financial compliance.
      • Oversee special projects and provide operations, financial and administrative oversight to staff in financial planning of projects.
      • Oversee annual budgets, coordinating with various departments.
      • Oversee audit schedules, journals, account reconciliations and tax schedules as needed for certified audit preparation and compliance with tax and regulatory authorities.
      • Oversee the implementation and maintenance of financial and administrative controls necessary to safeguard all assets and assures integrity in its financial record and reporting.
      • Oversee the day to day accounting functions, including grants management and payroll.
      • Handle cash management and banking relations, including disbursement of funds and investment of surplus funds.
      • Analyze and interprets financial statements and reports.
      • Prepare annual operating and capital budgets; provides budget assistance to managers as well as to senior management; review budget submissions for accuracy and reasonableness and prepares budget revisions as required.
      • Develop and recommend accounting and budgeting policies and procedures.
      • Serve as liaison for the organization with investment advisors, banking officials, insurance brokers, and auditors.
      • Procure various insurance policies.
      • Non-profit accounting and reporting experience.

Office and Facility, Technology Management

      • Recommend, develop and establish appropriate vendor relationships for executing business services and maintaining operations.
      • Recommend and oversee purchase and usage of office equipment.
      • Act as the organization’s point of contact for all external and internal IT infrastructure and facilities issues.
      • Manage relationship with the organization’s IT strategic partner to ensure all equipment and software provides technology for the staff to accomplish their work including the oversight of requests for applications or technology initiatives by staff in accomplishing projects and tasks.
      • Oversee development, maintenance and operations of the organization’s database systems.

The Senior Director of Development’s primary role is to set strategy and successfully execute a multi-million dollar fundraising plan for APIA Scholars. This strategy will grow our online fundraising, major/high net worth donors, partnerships/sponsorships, and grants. Reporting to the President & Executive Director, the Senior Director of Development will also supervise development staff in support of our annual fundraising goals.

This is a full-time exempt position working out of APIA Scholars’ office in Washington, D.C. Due to the current pandemic numbers in the region, APIA Scholars’ staff is working fully remote with a phased return to office policy set to begin on March 7th resulting in eventual transition to a hybrid role. While travel is a significant part of this role, APIA Scholars is monitoring current pandemic guidelines to resume work travel across the organization.
As Senior Director of Development, you will:

Lead Development Strategy & Execution

      • Lead development strategy and execution towards a multi-million dollar annual fundraising goal
      • Develop and execute a 20th Anniversary fundraising strategy with specific focus on high-net worth individuals
      • Support and build upon the strategy and execution of APIA Scholars’ sponsorship opportunities across our five core strategies

       

      Lead Portfolio Management

            • Manage a portfolio of strategic partners including Fortune 500 companies, foundations, and high net worth individuals
            • Grow portfolio to prospective partners with capacity to give seven-figure gifts
            • Conduct research on potential partners, sourcing from publicly available data and APIA Scholars leadership.
            • Set a clear strategy for tracking moves management, translating meetings to grants/gifts

            Write Grant Proposals and Reports

                    • Craft grant proposals that represent the vision, mission, and values of APIA Scholars

The Scholarships Associate is responsible for managing the central hub of communication, outreach, and fund tracking for the Scholarships department. The Scholarships department annually selects and awards the Asian & Pacific Islander American (APIA) General and Asian American and Native American Pacific Islander Serving Institutions (AANAPISI) Scholarships, with an average of $2.4 million awarded to 500 students each year. This position is based in Washington, DC. The starting salary for this position is $48,000 and is commensurate with experience and qualifications.

Essential Duties and Responsibilities:

    • Serves as an information resource to applicants and current scholars, including acting as the first contact point for inquires about the APIA and AANAPISI Scholarship application process (i.e. explaining the eligibility and procedures involved in applying for APIA and AANAPISI scholarships)
    • Designs outreach materials in collaboration with the Marketing and Communication department to promote and advertise the APIA General and AANAPISI scholarships to targeted audiences
    • Oversees the outreach and recruitment of volunteer application reviewers in collaboration with the Development department
    • Processes and monitors applicant and scholar document submissions, including contacting individuals for additional documentation to ensure completeness and accuracy
    • Responds to email and phone inquiries from applicants and awardees regarding the status of their application and/or award
    • Work closely with Finance and Operations department to reconcile and/or audit scholarship funds every other month including contacting universities and students to understand the circumstances around funds being returned
    • Provide logistical and event support for organization programs including fundraising events, higher education summits, and other national convenings
    • Undertake other duties and responsibilities that are assigned

 

Qualifications

    • Minimum 0-2 years of related work experience
    • Associate’s degree minimum. Bachelor’s degree preferred
    • Experience working with high school or college students, particularly those of multicultural, first-generation, and/or low-income backgrounds
    • Demonstrated awareness and understanding of Asian American and Pacific Islander cultures and experiences, and the issues affecting these communities
    • Ability to provide excellent customer service

The Development Manager serves a key role in growing APIA Scholars’ national reach to individual and institutional philanthropic partners. This role’s primary responsibilities are two-fold: 1) to lead online giving and campaigns and 2) to independently manage a portfolio of funders toward a multi-million dollar annual organizational goal. This is a full-time exempt position working out of APIA Scholars’ office in Washington, D.C. As Development Manager, you will:

Lead Online Giving & Campaigns

      • Lead ideation and execution of APIA Scholars’ annual giving campaigns, including Give in May, Giving Tuesday, and End of Year Giving.
      • Stay informed of trends in online giving and philanthropy
      • Track and analyze campaigns, recommending new and innovative ideas
      • Setting and executing towards a strategy with attention to detail and results
      • Independently draft compelling copy, sourcing content from across APIA Scholars’ Programs, Research & Policy, and Scholarships departments.

      Manage a Portfolio of Funders

                              What was founded in 2003 as a scholarship fund has transformed over the past two decades into a leading national organization serving the unique needs of Asian and Pacific Islander (APIA) students through holistic college to career programming, research, and higher education convenings. |The social media intern for APIA Scholars will help to manage our virtual presence and engage with our online audience. Primary duties as an intern for the MARCOMM team will include assisting the Marketing and Communications Senior Manager and MARCOMM team with various tasks, which include but not limited to:

    • Monitoring and finding creative ways to engage with different audiences across our social media platforms (Facebook, Twitter, Instagram, LinkedIn).
    • Communications research that improves and informs outreach to relevant APIA Scholars audiences (i.e. gathering relative data and metrics from all social media accounts to assist in measuring audience outreach and engagement).
    • Utilizing graphic design software such as Adobe and Canva to create content that captures organization’s dynamic brand and messaging.
    • Building relevant collaterals for events and programming as needed.
    • Gathering content and organizing content for the APIA Scholars virtual Newsletter.
    • Assistance with administrative work on interdepartmental projects.
    • Copywriting for both internal and external materials.

The ELS is a 3-day virtual leadership development program in which 1st and 2nd year Scholars and transfer students are welcomed into the APIA Scholars community.

 

This intern will:

Each year, students receiving GMS funding need to resubmit requests and paperwork in order to receive funding or defer their funds for the upcoming year.

This intern would:

    • Support document collection and verification.
    • Transcript review.
    • Scholar outreach and communication.
    • Data entry within the Salesforce system.

 

The Details:

    • Weekly time frame: Up to 40 hours per week (summer) and 20 hours per week (fall)
    • Internship time: Summer 2022 & Fall 2022
